An opportunity now arises for you to join our support team, to provide secretarial and admin support for our India office.
Responsibilities
- Scheduling and arranging meetings with both internal and external counterparties
- Providing general support to visitors and reception support
- Arranging business trips, which include booking of flights, accommodation and coordinating travel itineraries
- Undertaking administrative duties which include administering claims, managing office and pantry supplies, handling domestic/international courier, filing/printing/scanning documents, and other standard administrative matters
- Organizing team and departmental social events
- Providing back-up coverage to the other administrative assistants
- Attend to last minute meeting requests (including scheduling changes, cancellations and additions) in a timely manner
- Manage requests from multi-channel correspondences including email, phone, and instant messaging platforms etc.
- Cooperate and coordinate with global offices
Requirements
- Ability to use the standard suite of Microsoft tools is a pre-requisite
- Proven experience as an administrative assistant. Prior industry experience in real estate is a plus
- Strong interpersonal capabilities, and good verbal and written communication skills
- Maturity in managing relationships and challenging situations
- Organized, detail-oriented and effective time management ability
- Good problem-solving skills and strong organizational skills with the ability to multi-task
- Proactive, flexible, and willing to learn and grow beyond the job description
- Ability to develop a thorough knowledge of the organization quickly
- Ability to work with limited direction from senior professionals and make sound judgments independently
- Proficient at using tech tools: e.g., Concur for expense claims management, setting up meetings in Zoom / Teams, etc
